I first need to apologize for my delay in answering your email. We have been facing several issues with our mailing lists and some messages have not been well received or transmitted on due time.


Once said that, I acknowledge your recent email stating your position with regards to the representation of Royal Botanic Garden of Madrid within CETAF. This information was already communicated to us by yourself last year and we have acted accordingly in all our official documents and communication channels (e.g changing the representative within the documentation and in the mailing lists).
 
I would like to stress here that the nominations process for the CETAF Executive Committee is separate from representation of institutions, and is something that is not decided upon by the Secretariat, but by the membership. The Secretariat has collated the information and has a role in informing the membership of the list of the candidates, that have been freely nominated, for a position on the CETAF Executive Committee. Candidates (any person working at any of the CETAF institutions) for the Executive Committee are nominated by individuals (from any of the CETAF member institutions) who believe that the candidate would make a positive contribution to an executive position.

The list of nominations that was circulated, is to be completed by two supporting documents; 1) if the candidate was not nominated by their own director, a letter from their Director in support of their position on the Executive Committee, and 2) for all candidates that are supported, a personal statement of intent outlining their ideas for CETAF and what they would like to contribute to the Executive Committee.

It is obviously up to the Director of each institution to provide support  to the candidates from his/her institution, or, on the contrary, reject their nomination, for whatever reason. We take due note of your position, namely that Jesus Muñoz will not be able to run for the position of Secretary of the CETAF Executive Committee in the upcoming elections.

Dear Ana,

Thank you very much for this information about the list of nominees for the CETAF EC. It has been a bit surprise for me to see there to Jesús Muñoz. I have to inform you that I will not support his participation any longer in CETAF. I had this decision last year but after a talk with Michelle Price, she convinced me to let him to continue until the end of his mandate as Secretary of the EC. I accepted this proposal from Michelle, but both, her and Jesús, were aware of my decision for changing the person representing RJB at CETAF. Jesús communicated me his nomination for the EC last week. We were talking about it and my decision still firm. He will not continue any longer representing RJB in CETAF.

I am very sorry for this situation that never should happened and ask for excuses for the inconveniences my decision can cause, but it is my decision.

I am including Michelle Price and Jesús Muñoz in copy,

Dear colleagues,
 
Following the timeline announced during our last CETAF 44th Governing Board Meeting (CETAF44) in Bratislava, Slovakia, we are now ready to circulate the Nominees List for the different positions within the CETAF Executive Committee (see attached file). The CETAF Executive Committee elections will take place at the CETAF 45th Governing Board meeting (CETAF45) that will be held on the 15-16 May in Tartu, Estonia. Please remember that each candidate nominated for one of the 4 legal positions (Chair, vice-Chair, Treasurer, Secretary) but not elected to that position, automatically will become candidate as an ordinary member of the CETAF EC (to be added to the current nominees).
 
Following the agreed procedure, for those nominees who are not Directors of their institutions and have not been nominated by their Directors but by other Member’s representatives, it is required to provide a letter from their institution confirming that they are available to serve on the Executive Committee for the position to which they have been nominated. Each nominee is also requested to provide a personal statement (background, motivation and vision of their contribution to the CETAF community) to be sent to the CETAF General Secretary: ana.casino@cetaf.org ).


The final List of candidates, together with the supporting letters when needed and the personal statements, will be circulated to you before the agreed deadline of 14th March 2019 (i.e. two months prior to the CETAF45 meeting where the elections will take place).
